Adding a video to your waiver is a great way to communicate important safety information, explain expectations, or provide participant instructions before a waiver is signed.
With Smartwaiver's built-in video upload feature, you can upload your video directly from the Waiver Editor—no external video hosting is required.
Before You Begin
Please note the following requirements:
- Video Upload is available on eligible paid Smartwaiver plans. (Trial accounts cannot upload videos.)
- A stable internet connection is required to upload videos and for participants to watch them.
- Each account includes up to 20 GB of total video storage.
- Each waiver can have one video attached at a time.
- Upload times will vary depending on your internet connection and your video's size, quality, and duration.
Upload a Video to Your Waiver
- From your Smartwaiver Dashboard, open the waiver you'd like to edit.
- Click the green Settings button.
- Scroll to the Video Upload section near the bottom of the Settings window.
- Click Select Video.
- Choose the video file you'd like to upload from your computer.
- Click Upload Video.
- A progress bar will appear showing the upload status.
- After the upload completes, your video may display a Processing status for several minutes. Once the status changes to Ready, your video is available for playback.
- If you'd like, you can update the call-to-action text displayed beneath the video and choose whether the video is Required or Optional.
- Click Publish Waiver to save and publish your changes.
Your video will now appear at the beginning of your waiver.
Required vs. Optional Videos
When configuring your video, you can choose how participants interact with it.
Required
A Required video must finish playing before participants can continue to the waiver.
This option works well for:
- Safety briefings
- Participant instructions
- Equipment demonstrations
- Risk disclosures
Optional
An Optional video allows participants to skip directly to the waiver using the call-to-action button displayed beneath the video.
This option is ideal for:
- Welcome messages
- Promotional videos
- General information
- Helpful tips
Video Processing
After your upload completes, your video may require a few minutes to finish processing before it is ready for playback.
During this time, you'll see a Processing status.
Once the status changes to Ready, your video is available for participants to watch.
Processing time varies depending on the video's size, quality, and duration.
Editing or Replacing a Video
Each waiver supports one video.
Uploading a new video to the same waiver will replace the current video associated with that waiver.
After replacing a video, remember to click Publish Waiver to save your changes.
Removing a Video
To remove a video from your waiver:
- Open the waiver.
- Click Settings.
- Scroll to the Video Upload section.
- Remove the current video.
- Click Publish Waiver.
The waiver will return to its standard experience without a video.
Offline Mode
Video playback requires an active internet connection.
If a waiver is opened while the device is offline:
- The video will be skipped.
- The waiver will load immediately.
- Participants can continue completing the waiver as normal.
This behavior applies whether the video is marked as Required or Optional.
Frequently Asked Questions
Do I need a separate video hosting account?
No.
Videos are uploaded and managed directly through Smartwaiver, so there's no need to create or maintain a separate video hosting account.
Is there a storage limit?
Yes.
Each account includes up to 20 GB of total video storage by default.

Can I upload more than one video to a waiver?
No.
Each waiver can have one video attached at a time.
Can I customize the button text beneath the video?
Yes.
You can edit the call-to-action text before publishing your waiver.
Why isn't my video playing immediately after uploading?
After an upload completes, your video may display a Processing status while it is prepared for playback.
Once the status changes to Ready, your video is available for participants to watch.
What happens if the video can't be loaded?
If a participant is unable to load the video because of a connection or playback issue, they will see an error message and will still be able to continue to the waiver.
Can I still use YouTube videos?
Existing YouTube videos that were previously configured may continue to work, however all new video uploads use Smartwaiver's built-in video upload feature through Vimeo.
