Smartwaiver's new GROUPS (Beta) tool will allow you to quickly and easily see a view of any signed waivers that are associated with a third party activity, booking, or reservation.
Who should use this tool?
If you are integrated with a tour reservation or booking software (for example: Fareharbor, Rezdy, Flybook, etc.), this tool is designed to help you view and manage your third party group reservations and bookings.
If you are not integrated with a third party reservation or booking software (for example: Fareharbor, Rezdy, Flybook, etc.) you won't need to use this tool. (You can check out Smartwaiver's Events tool if you would like to manage a group of people that are not linked to a 3rd party booking.)
How it works for you, the Smartwaiver User:
To view or manage a Group Reservation / Booking, you will log in to your Smartwaiver account and click the GROUPS section (via the gray lefthand sidebar).
If you are integrated with a reservation or booking software, you will see a list of any 3rd party reservations that are associated with your Smartwaiver account on the Groups homepage. This homepage will include main details of:
- The Group ID # / Reservation # / Booking # / Group #
(You may see various terms here depending on how your 3rd party platform refers to reservations; for example: bookings, groups, reservations.) - Total number of guests
- Group Nickname (Optional field to help identify groups as part of a family, team, organization, etc.)
- Name of Group Leader (This is the person who booked, set up, or paid for the 3rd party reservation)
- Event date
- Progress bar (to denote how many guests have signed)
- Action menu
To view details for a specific group, click the Group ID # link to see all group participants associated with that reservation.
How it works for your Participants (the Group Leaders and guests):
If you are integrated with a third party reservation or booking software (for example: Fareharbor, Rezdy, Recreogo, etc.), when a Group Leader books an activity through one of these third party softwares, they will become a 'Group Leader' for that activity.
If no email is provided by the third party system, the Group Leader will receive an email from Smartwaiver, inviting them to view and manage the other members of their booking/group/reservation. The Group Leader can then log in (using steps sent to their email), and then view a limited access dashboard that allows them to see:
- Members of their group
- Their group waiver link (which will include their booking/group/reservation tag)
IMPORTANT NOTES:
If your platform doesn’t collect guest names or emails during booking:
Smartwaiver will allow users to easily add or edit those details within the GROUPS view.
If your platform does collect names or emails, Smartwaiver will preserve those details exactly as they appear in your system — keeping data perfectly aligned on both sides.
Smartwaiver will never transpose group data over your system's booking data. Our GROUPS view will simply provide a view of data that is also being gathered and sent to your system.
