Smartwaiver can now send reminders automatically to participants who haven't signed their waiver yet. When you send a waiver link from the Send Your Waiver tools (email or SMS), you can schedule reminders that keep going until the participant signs. You no longer need to follow up by hand.
Early Adoption: Automated Reminders are in Early Adoption, and our Support team has to turn them on for your account. If you're interested, email support@smartwaiver.com. We'll turn on the feature for your account and send you next steps and more information.
Who can use Automated Reminders?
Automated Reminders are available to users on the Starter plan and higher.
How to request Automated Reminders
- Make sure your account is on the Starter plan or higher.
- Email support@smartwaiver.com and ask to join the Automated Reminders Early Adoption program.
- Our Support team will turn on the feature for your account.
- We'll email you next steps and more information on getting started.
How reminders work
When you send a waiver link with reminders turned on, Smartwaiver keeps sending the link on the schedule you choose until one of these happens:
- The participant signs the waiver. Reminders stop on their own.
- The participant unsubscribes or opts out.
Choose how often reminders go out:
- Every day
- Every 3 days
- Every week
Sending a waiver link by email with reminders
- Log in to your Smartwaiver account and open Send Your Waiver.
- Select Send Link via Email.
- Enter the recipient's email address, or upload a CSV file to send to many recipients at once (see Sending to a list of email addresses below).
- Select the waiver template you want to send.
- Use the Send Reminder Until Waiver Is Signed dropdown to pick how often reminders go out. You have to choose an option in this field before you can send.
- Click Send.
Sending to a list of email addresses (CSV upload)
The Send Link via Email page lets you upload a CSV file to send your waiver link (and reminders) to many people at once. Your file should:
- Have one column of email addresses only
- List one email address per row (no header row needed)
- Be 10 MB or smaller
If any email addresses in your file aren't valid, Smartwaiver will flag them. All valid addresses will still be sent.
Sending a waiver link by SMS with reminders
- Log in to your Smartwaiver account and open Send Your Waiver.
- Select Send Link via SMS.
- Enter the recipient's mobile phone number.
- Select the waiver template you want to send.
- Turn on reminders and pick how often they go out.
- Complete the SMS consent step as usual, then click Send.
Note: SMS consent and opt-out work the same way they do today.
Unsubscribing from reminders
Every reminder email includes an unsubscribe link. If a participant clicks it, they won't get any more reminder emails from your account. Unsubscribing from email doesn't stop SMS reminders. Participants can opt out of text messages using the standard SMS opt-out.
Tracking your reminders
Every waiver link you send, and every reminder after it, appears on your SMS/Email Logs page. Each entry shows:
- Date and time sent
- Recipient (email address or phone number)
- Channel (email or SMS)
- Delivery status
Frequently asked questions
Will participants keep getting reminders after they sign?
No. Reminders stop on their own once the participant signs the waiver.
Is there a limit to how many reminders are sent?
Reminders keep going on your chosen schedule until the participant signs or unsubscribes.
Can I use Automated Reminders on a Free Trial?
No. You need the Starter plan or higher.
Can I upload a CSV of phone numbers for SMS?
Not right now. CSV upload is only available for email.
Where can I see which reminders have been sent?
Every send and reminder is listed on your SMS/Email Logs page under the 'Notification Groups' tab.
