If you're ever asked by an insurer, attorney, or another party to provide documentation for a specific signed waiver, Smartwaiver makes it easy to locate, verify, and share the relevant records. This article walks through where to find that information.
If you're responding to an active claim or dispute, your insurer or attorney can advise you on exactly what documentation they need - this article simply shows you how to locate and share it quickly.
Step 1: Find the participant's waiver
Go to your View Signed Waivers page in the Waiver Console and search for the participant by name. See How do I search for a participant in the Waiver Console? for detailed steps.
Step 2: Review the waiver's details
Click on the participant's name to see the full record, including the date signed, whether it was signed on a kiosk or their own device, and any associated notes, tags, or events. See How can I see details of the waivers that have been submitted?for a full breakdown of what's shown here.
Step 3: Check the timestamp and IP address
Every signed waiver includes a UTC timestamp and the IP address of the device used to sign it, both viewable in the waiver preview and included automatically on the exported PDF. See How do I look up a signer's IP address? for exactly where to find this.
Step 4: Confirm the document's authenticity
Every signed waiver PDF includes a Certificate of Authenticity, which allows anyone reviewing the document to confirm it hasn't been altered since it was signed. See Can I verify that the signed document has not been tampered with? for details.
Step 5: Download and share the PDF
From the participant's record, click the download button to generate a PDF of the signed waiver. This single file includes the full waiver text, signature, timestamp, IP address, and Certificate of Authenticity — everything most requests for documentation will need in one document. See Can I download copies of my signed waivers as PDFs? for more.
Tip: If you need records for multiple participants at once, see How do I export my completed waiver data? for bulk CSV export options.
